The Administrative Assistant position reports to the Vice President, Franchise Account Management and will provide administrative support to the Franchise Account Management (FAM) leadership team and activities related to the organization. The Administrative Assistant position represents the FAM organization and works closely with executive management in DePuy Synthes and enterprise wide. This position requires a full understanding of the functions, practices, procedures, and policies of an organization. This person will have regular contact with senior management within Johnson & Johnson and with customers to provide or gather information, coordinate and schedule customer engagements. He/she must possess the ability to anticipate leader's needs and collect/prepare information for the leaders. The individual is required to think analytically, exercise sound judgment and discretion. This person must have the proven ability to communicate effectively and articulately with all levels of the organization. He/she must demonstrate flexibility and the ability to manage and respond to multiple priorities and shifting demands while maintaining the sense of urgency and intensity that the office requires.
The incumbent will prepare and maintain documents of a confidential and sensitive nature, maintains complex and changeable calendar for FAM executive leader and AVPs, and arranges and prioritizes day to day meetings, leadership and client meetings. The individual will draft emails, documents and other communication material, distributes scheduled and ad hoc messages, as well as handle travel arrangements/ itineraries and processes expense reports for executive and AVPs. They will work on projects as assigned, prepare and adjust power point presentations, and function as the meeting recorder and prepares meeting minutes and action items.
The successful candidate will track action items and rigorously follows up with direct reports and other staff on deliverables on behalf of FAM executive, collect and consolidates management reports/data from each region to track progress and/or deliver against action items, track items requiring executive approval, enters and or approves data in systems, and work with executive direct reports to help plan, organize and coordinate team meetings. They will maintain electronic and/or paper files, internal/external contact lists, rosters, and organization charts, and act as liaison with other departments and outside parties including executive management.
Qualifications
A minimum of a High School diploma is required. An Associate's degree or CPS is preferred. A minimum of 6 years of experience providing Executive level support is required. Previous administrative experience supporting a head of a major business or function is preferred. Previous experience supporting multiple stakeholders or a team is highly desired. The incumbent must possess extensive knowledge of and demonstrate expert level of proficiency with personal computers working with Microsoft Office programs (Word, Excel, PowerPoint, Outlook, etc.). Strong proficiency in Ariba or closely related system, gXRS or other expense reporting system, CTO or other travel systems, and SAP/Our Source is required. Energetic customer focus and outstanding interpersonal skills are required. Must possess strong initiative, organizational skills and detail orientation. Experience in a complex, fast changing organization is required.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
