9K a year 3 hours ago 3 hours ago 3 hours ago New Brunswick Counseling Center is seeking a full-time Administrative Assistant Front Desk to perform routine clerical, secretarial, and administrative work in answering telephones, receiving the public, providing customer assistance, data processing, and record-keeping.
Responsibilities:
Welcomes and directs visitors and Clients Answers and transfers phone calls, screening when necessary, and provides information to callers as needed.
Direct patient to appropriate action according to EHR alerts or written counselor Receives and records patient payments via EHR.
Notify patients of their outstanding balances, encouraging them to pay fees weekly, and when unapproved delinquency occurs, coordinate payment arrangements.
Notify counselors of patient fee delinquencies.
Collects proof of income information from State Funded clients and updates EHR system.
On a weekly basis, update the SMART system with new funding information for SAPTI and NJSI.
On the first of each month, or as necessary, verify patient's insurance eligibility, e.
, Medicaid Medicare, and private carriers.
Enter eligibility determination in Agency's EHR.
On a monthly basis, identifies treatment plans that are due for review, and advises counselor by adding an alert in the client's EHR file.
Alert added two weeks prior to review date of the treatment plan.
Maintains filing system as assigned.
Coordinate with counselors to obtain required arrival times for dosing and group/individual session to assure transportation is set up appropriately Submit Monthly Transportation Attendance Reports to Modivcare on behalf of Agency.
Coordinates transportation with Modivcare for clients.
Schedules meetings for Clinical and Psychological consultations.
Maintains office supplies and coordinates maintenance of equipment.
Maintains and files all the referrals for the program.
Answer inquiries of patients and the public in person or via telephone regarding regulations and services; when appropriate, refers inquiries to appropriate person or department.
Takes photos of new and/or existing patients for photo ID.
Open and distribute incoming mail/faxes.
Storage of paper records in designated secured on-site, and off-site storage Scheduled Intakes - When client arrives for a scheduled intake, collects intake fee, client ID, proof of income, and verifies clients funding information.
Thereafter, provides client with paperwork for Sets-up telehealth when counselor doing intake is working off-site.
Other billing responsibilities and tasks as assigned by Supervisor.

Onsite Required Education and Experience Graduation from high school or GED equivalent with specialized course work in general office practices such as typing, filing, accounting, and bookkeeping.

Estimated Salary: $20 to $28 per hour based on qualifications.
